Process & workflow design

Clear process. Solid ground.

Groundwork Guild helps towns, nonprofits and small organizations sort out how work actually gets done: how requests come in, who handles them, what gets tracked, and what people see along the way. We design the process first, then fit your tools to it.

Services

Find the problem. Fix the flow. Make it usable. Make it stick.

Four services that work on their own or as a full cycle. Most clients start with an assessment.

Find the problem
Start here

Process Assessment

We sit down with the people doing the work, watch how it moves day to day, and map what really happens, including the workarounds.

You get

  • Staff interviews and observation
  • A current-state map of the process
  • A prioritized list of fixes, from quick wins to bigger changes

Good fit when things fall through the cracks and no one is sure where.

Fix the flow

Workflow Redesign

A new, cleaner process for one area of your work, with clear roles, handoffs and tracking that fit the tools you already have.

Common areas

  • Public records requests (RSA 91-A)
  • Resident service request intake
  • Meeting agendas, posting and minutes compliance

Good fit when you know what's broken and need a better way to run it.

Make it usable

Usability Review

We look at your website or intake forms from the resident's or user's side: how people find things, where they get stuck, and what they give up on.

You get

  • Walkthroughs of the tasks people come to do most
  • A list of the spots where people get stuck
  • Recommended fixes to navigation, labels and forms

Good fit when your phone rings with questions your website should answer.

Make it stick

Documentation & Training

Clear written procedures and hands-on training, so the process keeps working after we leave and when staff change.

You get

  • Standard operating procedures (SOPs)
  • Quick-reference guides
  • Staff training sessions
  • Role handoff and transition plans

Good fit when important knowledge lives in one person's head.

Approach

How an engagement works

Every project follows the same steps, so you always know where things stand and what comes next.

  1. Intake

A conversation about what's not working and what a good result looks like.

  2. Assessment

Interviews, observation and a map of how the work moves today.

  3. Design

A future-state process built with your staff, not handed to them.

  4. Implementation

Support while the new process goes live, adjusting as real use shows what needs it.

  5. Handoff

Documentation and training so your team owns it from here.

Process before tools

We fix how the work flows first, then configure what you already use, like Microsoft 365, Google Workspace or your website platform, before recommending anything new.

Designed with your staff

The people doing the work know where it breaks. They help shape the fix, so it fits real days, not ideal ones.

Built to last

Every engagement ends with written procedures, so the process survives vacations, turnover and busy seasons.

Who we work with

Organizations that serve their communities

Towns & cities

Clerks, town administrators and department heads who are stretched thin and running on workarounds.

Nonprofits

Small teams that have grown faster than their systems and need processes that can keep up.

Small organizations

Offices where the way things get done was never written down, and everyone does it a little differently.

About

Built from the inside

I've spent my career joining organizations that were missing structure and building the systems to fill the gaps. Most recently, in a New Hampshire city manager's office, I designed and ran the processes that keep a municipality working day to day.

  • Service request system
  • Public records (RSA 91-A) workflow
  • Meeting and posting compliance tracking
  • City website restructure

Groundwork Guild starts with process design. It's built to grow into a guild of specialists over time, each one expert in a different part of how communities work.
